Aplos Has Rolled Out New Accounts Payable and Accounts Receivable Features

Our developers have been busy in the lab working on software improvements to make Aplos even better for our users. The new features launched this week are enhancements to our Accounts Receivable and Accounts Payable sections. Here is a list of the changes, along with links to support articles if you need more step-by-step instructions.

Accounts Receivable:

  • Receive payment for multiple invoices with one check.
    • This is a great feature if you receive a single check to pay multiple receivables. For example, if you run a school and a parent has three children in your program, when they write you a tuition check for all three students, now you can easily clear out three of your invoices at the same time with one transaction.
  • Post a credit to invoices for discounts, scholarships, and bad debt.
    • Keeping with the school example, say you’d like to gift a student a scholarship. Post the negative amount on an invoice, or if you have an invoice that you know you’ll never receive payment for, you can assign a negative amount on the invoice to a bad debt account.

Accounts Payable:

  • Pay multiple invoices to a single vendor with one check.
    • Previously you would have to write/print individual checks to close out each invoice. Now you can pay multiple invoices to one vendor using one check. So if you had a handyman come out and do multiple projects at various times in the month, now you can lump all of the invoices together for one payment.
  • Post a credit on a bill.
    • Did you return something to the store and received a credit rather than a refund? You can create a negative payable to track your credit.
  • Use a liability account on a payable
    • Let’s say you have a mortgage set up, which is a liability, but you want to create an accounts payable bill for the payment. Now, you can create an AP which decreases another liability (the mortgage).
