Notice of WePay Shutdown

WePay will no longer support payment processing as of June 15, 2024. To avoid disruption to your donations, your organization will need to migrate your payment processing to Stripe and any recurring or Text to Give donors will need to update their payment methods.

Step 1: Apply for a Stripe Account

To continue accepting donations in Aplos, you must complete your Stripe merchant application and link your bank. It will only take a few minutes to log in and complete the application. However, the approval process may take some time, so don’t delay.

The authorized person responsible for the payment account needs to log in to Aplos and complete the required Stripe enrollment by entering the required details for your organization and linking a bank.

Check out our resource on getting started with your Stripe account to learn more about the application process. Contact us if you have any difficulty completing enrollment and linking your bank because we want to make sure your donations are not interrupted.

The privacy and security of your personal information are important, so remember not to provide personal information through email or messages. It should only be provided on the secure form inside your Aplos account.

What Happens After Your Application Is Completed

Aplos will migrate your payment processing to Stripe, which will include your donation forms, widgets, and event registration. We will contact you when the process is completed.

Step 2: Contact Your Donors

After your application has been accepted and you have fully transitioned to Stripe, your next step is to contact your donors who have recurring giving or Text to Give donations and ask them to update their payment methods in My Aplos to continue processing their donations. Any payments to your organization that are already processed through Stripe will not be affected.

There will be no new fees associated with using Stripe. You have the same low processing rates for credit card and ACH transactions.

Donors With Recurring Donations

To export a list of donors with recurring donations using a WePay payment method, follow these steps:

The following steps should be communicated to your donors using a recurring donation to help them update their payment method. We have included a template email below that you can use to communicate this transition to your donors.

  • Log in to My Aplos
  • Select View All Recurring Donations
  • Find the recurring schedule for <Your Organization Name>
  • Select the three dots under the Actions column
  • Select “Edit Recurring Donation”
  • Select the pencil icon to update your payment method
  • Select your payment method type
  • Enter your payment method details
  • Select the green Update button to save the payment method

Text to Give Donations

Not using Text to Give? You can skip this section.

To receive access to a spreadsheet of your Text to Give donors using a WePay payment method, contact support@aplos.com.

The following steps should be communicated to your donors using Text to Give to help them update their payment method. We have included a template email below that you can use to communicate this transition to your donors.

  • Log in to My Aplos
  • In the navigation menu, select Text to Give
  • Find the configuration for <Your Organization Name>
  • Select the Actions button
  • Select Update Payment Method

Q. Why do I have to switch to Stripe?

A. AplosPay is now powered by Stripe. Stripe gives you a smooth, integrated experience inside the software to manage your payments. This move unlocks the power to offer new, modern payment and finance tools in the future. Stripe is also the leader in fraud detection and reliable payments so your organization and your donors can have the best experience. WePay no longer supports payment processing.

Q. When can I start using Stripe?

A. Once your account is approved and your payout bank is connected, you will be ready to process your payments with Stripe. We will notify you when your Stripe account is enabled and begins to process your new donations through Stripe.

Q. I am having difficulty getting set up. What do I do?

A. Don’t worry, we are here to help. If you are having difficulty making it through onboarding, please let us know and we will make sure we help you complete it so you have uninterrupted payment processing. Reach out to our team through the Support Center and let us know how we can help.

Q. What will happen to my WePay account?

A. WePay will no longer support payment processing as of June 15, 2024. All payment processing in Aplos will now be powered by Stripe. You will still have access to your dashboards for a period of time and be able to issue refunds and chargebacks as needed.

Q. What happens to donations if I don’t complete the application before the WePay shutdown?

A. Your payment processing will be paused until you transition to Stripe and your donors update their payment methods. You will need to contact the Support Team to migrate your existing forms and widgets to Stripe.

Q. Will my existing donation forms and widgets still work?

A. If your donation forms and widget are connected to WePay payment processing, and you wish to use the same donation forms or widgets, contact our Support Team and we’ll connect them to your Stripe payment processing.

Q. Are my transaction rates changing?

A. No. Your organization will still be locked into the same low transaction rates you enjoy now. You will get all the benefits of Stripe without higher costs. 

Q. How will this impact my donors?

A. Most donors likely won’t notice anything has changed. Once Stripe is live, new payments will simply use the new payment processor. A donor may notice a change if they have saved payment methods with WePay. These will not work with Stripe. If a donor has a saved payment method with WePay in My Aplos, they will need to re-enter the billing method. If they have a WePay saved payment method and access a donation form processing with Stripe, their WePay payment method will not be shown. Donors may also see a new description on their card statements that shows Stripe.

Q. What about my recurring donors?

A. Once you are set up with Stripe and successfully processing, your next step will be to contact your donors to log in and update their payment method in Aplos so their regularly scheduled donations or Text to Give gifts will continue processing through Stripe.
